From time-to-time transactions will need to be cancelled due to errors and stock issues.
Invoice transactions are to be voided while item fulfillment and sales order records can be deleted. Voiding an invoice sets its total and all its line items to 0 but does not remove it from NetSuite. This is the preferred way to cancel an existing invoice because the audit trail is preserved.
If a transaction is voided or deleted that was created to close another transaction, the original transaction is reopened. For example, if an invoice was created to bill a sales order, voiding the invoice reopens the sales order and sets the order’s status to pending billing. Then you must invoice the order again.
Note: it is essential that invoices are cancelled immediately when required to do so. Invoices left "for cancellation" overnight lead to reporting problems with our suppliers (most suppliers are sent sales reporting data each night). Any user account has access to cancel a transaction and does not require one person to handle this job. In other words, do not leave transaction cancellation requests for others to handle who may be out of the office for days at a time.
On an invoice record, select the Edit button, followed by Actions and then select Void. A confirmation dialogue will appear confirming that you wish to void the transaction. Select OK.
This will update the original sales order status from "Billed" to "Pending Billing".
Adjust quantities of items that cannot be fulfilled (e.g. out of stock or out of date).
If deletion is required, select the Edit button, followed by Actions and then Delete.
Adjust items and quantities if required.
If deletion is required, select the Edit button, followed by Actions and then Delete.
Mark any printed picking tickets and invoices as deleted and place in a designated deleted tray to be compared with a daily transaction delete and void report.
